We have an immediate need for a Senior Executive Assistant based in our Chicago, Illinois office location. The Senior Executive Assistant provides all corporate and personal support to the CEO. Handles a wide variety of complex and confidential situations and resolves conflicts involving the clerical and administrative function of the office. Responsible for confidential and time sensitive material. Prepares correspondence including but not limited to, letters, memoranda, and reports.
Responsibilities:
- Provide Office of the President Executives with Outlook calendar management support, printed daily schedules, needed information for meetings and overall coordination support for daily activities. Includes accepting, declining, and initiating meetings and sending reminders. Process daily incoming mail along with screening telephone calls and taking messages. Set up meetings as requested. Order and set up food, drinks, etc. and clean up after meetings.
- Provide total Corporate and Personal support to the Office of the President Executives. The main focus being discretion and ability to responsibly manage confidential and time-sensitive information, also maintain departmental files and schedules. In addition, perform a wide variety of administrative duties as required or requested by daily operations in the office.
- Research and process travel arrangements through the corporate travel agency for the Office of the President. Process all expenses for the Office of the President through the Concur Expense Reporting System.
- Partner with Finance and Legal departments for all financial and legal document processing.
- This position collaborates & coordinates with other department Sr Executive Assistants to support Corporate matters
- Ensure that the Executive suites are "customer ready" through the selection of external and internal service providers to address daily needs, maintenance and security issues. This includes vendor management and maintaining service schedules.
- Manage and coordinate all meetings and events for VIPs and customers. This includes event planning and management, negotiating of costs and services, scheduling event activities, Community events, and evaluating quality and service required to meet the objective of the meeting or event.
- Process and maintain all aspects of Corporate activities. This includes coordination of services and payment for personal properties, processing and maintaining company and personal car information (license plates, stickers, maintenance, etc).
Requirements:
- Requires an associate's degree or its equivalent with at least 5+ years of experience in the field or in a related area.
- Familiar with a variety of the field's concepts, practices, and procedures.
- Relies on experience and judgment to plan and accomplish goals.
- A wide degree of creativity and latitude is expected.
- Professionalism and confidentiality is an absolute must, along with maintaining security of the Executive Offices.
- Have excellent verbal, written, and grammatical skills.
- Ability to complete large scale event planning and management.
- Ability to manage vendors effectively.
- Proficient with Microsoft Office applications in composing correspondence, reports, excel spreadsheets and other documents with 100% accuracy.
- Adapt to new technology and learn new computer programs quickly.
- Be a self-starter with the ability to work independently, multi-task, and set priorities effectively.
- Have high attention to detail and accuracy, and strong decision making skills.
- Works well under pressure with tight deadlines and changing priorities.
- Exceptional organizational and interpersonal skills.
- Ability to exercise independent judgment in the resolution of administrative problems.
- Must be proactive in terms of anticipating needs and follow-up items for Executives.
